CONFIRM BOOKING AND PAY DEPOSIT
When you do agree with a tour planned by our travel consultant, confirm your booking and send us a deposit (30% – 50%) to secure booking.
In the last step of preparation, in this stage, our travel consultants will continue to give you more information or travel guide related to the booked holiday. You are now ready to enjoy the trip!
Prices and tariffs quoted for tours are quoted in US Dollars and will be converted to VND based on exchange rates of the payment date for both deposit and the balance payment. These exchange rates subject to change without notice in the event of unforeseen circumstances beyond our control, such as significant currency fluctuations.

A deposit is required to confirm your reservations at the time of booking.

- Full payment
- Full and final payment of the flight ticket and tours inside Vietnam must be made 3 days before the departure date.
- Full and final payment of the train ticket, hotel booking, and tours outside Vietnam must be made 7 days before the departure date. Failure to comply may result in the cancellation of reservations and penalties on the cancellation will apply.
If the Tour is not paid for by the due date, the Company shall have the right to cancel the Tour. As a result, the cancellation charges shall apply and be payable by the Consumer to be set out as below:
ONEPAY ONLINE PAYMENT
We connect with OnePay Payment Gateway, the leading online payment company in Asia to accept Online Card Payment (www.onepay.vn). All of your card information is processed through the SSL protocol with international card security standards. Your card information will not be stored in our system (merchant) with international security standards. We will send you the payment link to process the online payment by following the listed steps.
Please note that all credit transactions will be charged a 3% service processing fee.
CASH PAYMENT AND BANK TRANSFER
Payment in Vietnam Dong (or AUD, EUR) is to be made equivalent to the amount in US Dollars at the official exchange rate of the Vietcombank at the time of payment.
You can also choose payment by Bank Transfer, Western Union. Please, kindly note that the payment fees are not inclusive in price.
Cancellation by customer
Any cancellation should be referred to Oriental Lotus Travel in writing by email, following these below terms:
Greater than 30 days (1 month) prior to the Departure of all tours and services: No cancellation charge (US$ 30 nonrefundable deposit will be forfeited)
* For the booking of the train ticket, hotel room, flight ticket: provided case by case.
* For the services and tours outside Viet Nam:
- 15 -30 days before departure: 25% of the payment is forfeited at least.
- 8 – less than 15 day before departure date: 50% of the payment is forfeited
- 5 – 7 days before departure date: 75% of the payment is forfeited
- Less than 05 days before departure: 100% of the payment is forfeited
* For the services and tours inside Viet Nam:
- 15 – 30 days before departure: 25% of the payment is forfeited
- 08 – less than 15 days before departure: 50% of the payment is forfeited
- Less than 07 days before departure: 100% of the payment is forfeited
Cancellation by us
We reserve the right to cancel your booking under some unavoidable circumstances like weather conditions, wars, civil strife, industrial disputes, natural disasters, terrorism, or order from the Local Authority. If we cancel your booking, you can either get a full refund for the paid money or accept an alternative from us of equivalent or similar standard and price, if one is available, and we will always refund the difference in price if the alternative is of a lower standard and price.
We reserve the right to change or cancel the itinerary, accommodation, or services nominated in the tour descriptions due to the reasons that out of our control. We will notify customers as soon as possible about this change and try the best to arrange a suitable option. Thus, there would be possible scenario for this itinerary change.
- Change of service, accommodation at a similar standard if available.
- Change of service at a lower standard, there would be a refund for the difference in price.
- Cancellation of service or tours, all paid money will be returned in full. The cost of any travel arrangements you have made however will not be reimbursed.
You must let us know your special request (accommodation, dietary request, disability access…) in advance, before the trip departing. We will try to meet your special request, however, we cannot guarantee that we will be able to accommodate every person’s needs and we make no promises and take no responsibility for special requests which we are unable to fulfill.
All cancellations must be received in writing, sent to us via email. All refund requests to the tour and other services are subject to final review by Oriental Lotus Travel.
No refunds or exchanges can be made in respect of accommodation, meals, sightseeing tours, transport or any other services which are included in the Tour prices but unused or missed by the tour member. It is up to 15 days for any refund to appear in your bank account statement.
Please note that the refund does not include the service fees for payment by credit card or online payment.
If you’re not satisfied with any aspect of the services we have arranged on your behalf, you should report it to your local tour guide so that immediate action can be taken to remedy the problem. Any feedback made to Oriental Lotus Travel following the conclusion of the tour should be made in writing within 15 days of completion of the tour. In the event that you do not notify us in writing within 15 days, our ability to investigate negative feedback may be prejudiced.
All travelers require valid passports with at least six months of validity remaining. Travelers are also responsible for necessary visas and health certificates and must meet all costs incurred to comply with such requirements.
Insurance is purchased for passengers due to the requirement of Vietnamese law, and it covers only the basic accidents so we strongly recommend you take your own insurance before departing for Vietnam and joining trip with us.
We occasionally take photos, videos during our tours for use in promotional material. Unless you advise us otherwise, you agree to our use of your photos/videos.
STATEMENT OF RESPONSIBILITIES
Oriental Lotus Travel requires a degree of flexibility, and you should understand that the trip’s route, accommodation, and modes of transport are subject to change without prior notice due to reasons beyond our control. There would be possible to amend an itinerary for any reason, it may do so by shortening, varying or re-routing any trip.
While traveling in the packaged tour with Oriental Lotus Travel, you agree to accept the authority of the tour guide/leader at all times.
Oriental Lotus Travel contracts with a network of companies, government agencies, suppliers and individuals to assist in the running of its tours. These third parties are qualified by Oriental Lotus Travel to provide service to our customers at the highest responsibility. We will not be held liable for any injury, damage, loss, delay or irregularity that may occur due to the behavior of these third parties. Oriental Lotus Travel will not accept responsibility or liability for any traveler who contravenes any law or regulation of Vietnam.
